Helloo Club

1. Who we are
Helloo Club is an offline community platform operated by RemotIQ Pty Ltd (ABN 91 682 628 128) ("Helloo," "we," "us," "our"), a company registered in Australia.
We help people meet their kind of people, offline — through small, hosted, neighborhood clubs — and we offer Helloo AI, a conversational companion. Under Australia's Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), we are the entity accountable for handling your personal information.
If you only want the short version: we collect what we need to run clubs, keep meetups safe, and let Helloo AI remember you. We don't sell your data. You can ask to see, correct, or delete it.
2. The data we collect
a) Data you give us directly
- Account & profile: the name or handle you choose, and any details you add. You can use Helloo largely anonymously until you decide to reveal more.
- Contact details: email and/or phone number, where you provide them (e.g. to RSVP confirmations or host applications).
- Age / age confirmation: we ask you to confirm you are 18 or older to create an account. See Section 8.
- Host applications: if you apply to host, we collect your name, age, email, phone, city, neighborhood, the club type you'd run, a free-text description, and — optionally — a resume/CV you upload.
- Helloo AI conversations: the messages you exchange with Helloo AI, and the "memory" the companion builds from them (your interests, things you've told it, preferences).
- Anything else you send us: support requests, feedback, reports about other members.
b) Data we collect automatically
- Location: to show clubs "near you," we use your approximate location (from IP, or precise location only if you grant device permission). You can turn precise location off.
- Device & usage: device type, browser, app version, pages viewed, and similar diagnostic data.
- Cookies and similar technologies: see our separate Cookie Policy.
c) Data others give us
- RSVPs & attendance: when you join a club, the host and (to a limited extent) other attendees learn that you're coming, under the anonymity settings you've chosen.
- Reports: if another member reports a safety or conduct concern involving you.
We do not ask you for special-category data (health, religion, caste, sexual orientation, etc.). Please don't volunteer it — including inside Helloo AI chats — unless it's genuinely necessary.
3. Why we use your data, and our legal basis
We handle your personal information under the Australian Privacy Principles, on the basis of your consent or another lawful basis. Specifically:

You can withdraw consent at any time (Section 6). Withdrawing may mean parts of Helloo stop working — for example, if you withdraw location consent we can't show nearby clubs.
4. Helloo AI and your conversations
- Helloo AI stores your conversations and derives a memory profile so it can recall what you care about.
- We may use AI conversation data to operate and improve the companion. Where we use it for broad model improvement, we work with de-identified or aggregated data wherever feasible, and you can opt out in Settings.
- Helloo AI is companionship, not professional advice. It is not a therapist, doctor, lawyer, or crisis service. See the Helloo AI Policy for the full terms and safety information.
- You can delete your Helloo AI memory or specific conversations at any time in Settings. Deleting memory may reset the companion's recollection of you.
Administrator access to message content. A small number of authorised staff may access the content of messages — both your Helloo AI conversations and messages you exchange with other members — where it is necessary for safety, moderation, or legal obligations (for example, investigating a report, a suspected safety risk, or a lawful request). We do not read messages for advertising or any purpose outside those grounds. Every such access is recorded in a tamper-evident internal audit log — capturing who accessed what, when, and why — which we review to detect and deter misuse. Access is limited to full administrators; locality moderators cannot read message content.
5. Who we share data with
We do not sell your personal data. We share it only:
- With hosts, on a need-to-know basis, so they can run and staff a meetup you've RSVP'd to (typically your chosen name/handle and attendance — not your contact details unless you choose to share them).
- With other attendees, limited to what your anonymity settings allow.
- With service providers (Data Processors) who host our infrastructure, send notifications, or process applications, under contracts that restrict their use of your data.
- For safety and legal reasons — to prevent harm, enforce our rules, or comply with a valid legal order.
- In a business transfer (merger, acquisition), with notice to you.
Any overseas disclosure of your data is done in line with APP 8 (cross-border disclosure of personal information).
6. Your privacy rights
Under the Australian Privacy Principles you can:
- Access a summary of the personal data we process about you.
- Correct, complete, or update inaccurate data.
- Erase your data where it's no longer needed and no law requires us to keep it.
- Nominate another person to exercise your rights if you die or become incapacitated.
- Complaints — raise a complaint with us first (Section 10), and escalate to the Office of the Australian Information Commissioner (OAIC) if unresolved.
To exercise any right, contact support@helloo.com.au or use the in-app privacy controls. We'll respond within the timelines required by law.
7. How long we keep data
We keep personal data only as long as needed for the purpose it was collected, or as required by law:
- Active account data: while your account is open.
- Helloo AI memory: until you delete it or close your account.
- Verification video and selfie: deleted 90 days after a decision is made, or sooner if you delete them yourself. We keep the outcome (that you're verified) — not the biometric recording.
- Host application data: for the duration of your hosting relationship, or up to 12 months after a declined/withdrawn application, then deleted or anonymised.
- Safety and incident records: retained longer where needed to protect members or meet legal duties. Reports made about a member are kept even if that member closes their account.
- Billing records: kept for 5 years, because Australian tax law requires it. This is the main thing we can't delete on request.
When you close your account we hold it for 30 days so you can change your mind (log back in and choose Restore), and then delete or anonymise your personal data, except where retention is legally required as described above.
Where a conversation was shared with another member, we remove your messages but keep theirs — we can't delete another person's copy of a chat you both took part in.
8. Children
Helloo is intended for adults 18 and over. We ask you to confirm your age at sign-up.
If we learn that we have collected the personal data of anyone under 18 without the verifiable consent of a parent or lawful guardian we will delete it. We do not knowingly do behavioural tracking or targeted advertising to children. If you believe a minor is using Helloo, contact support@helloo.com.au.
9. How we protect your data
We use reasonable technical and organisational safeguards — encryption in transit, access controls, and vetting of staff and hosts. No system is perfectly secure, but if a personal-data breach occurs we will notify affected individuals and the OAIC where required under the Notifiable Data Breaches scheme.
10. Grievance officer and contact

We aim to acknowledge complaints within 48 hours and resolve them within a reasonable period. If you’re not satisfied, you may complain to the Office of the Australian Information Commissioner (OAIC).
11. Changes to this policy
We may update this policy. If changes are material, we'll notify you in-app or by email before they take effect. The "Last updated" date shows the current version.
